Placing bookings with the balancer

Work through the queue: one booking, the rooms it can go to, and why.

The balancer is where you place bookings that are waiting for a room. It shows one list: everything to place, with the booking you are working on opened in place and the rooms it can go to underneath.

Notas: This describes the review queue, which is being rolled out and is not yet on every account. If your balancer instead shows a month's distribution with suggested swaps to apply in a batch, you are on the earlier version — the ideas are the same, the screen is not. Ask support if you would like the queue enabled.

Working through it

  1. 1 Open Balancer and pick your property. Bookings that are close enough to decide are listed, oldest first.
  2. 2 Click one. It opens where it sits, so the list never jumps under you.
  3. 3 Read the rooms underneath. They are ranked by the model you chose, least earned at the top, each with its housekeeping status.
  4. 4 Take the top one, or click a different room — the button follows your choice and names where the guest ends up.
  5. 5 Place it. The room is assigned in your PMS, the ranking updates, and the next booking is ready.

Reading the room list

  • The number is the position in the queue for the booking in hand — 1 is the room that has earned least and is free for these dates.
  • The status label comes from your PMS: clean, dirty, out of service. It appears on Mews properties running the queue; elsewhere there is no status to show.
  • The amount is what that room has earned over the last twelve months. It is the reason for the ranking, and only admins see it — managers place bookings without seeing each owner's takings.
  • Rooms that cannot take these dates sit below the line, under Not free, with their ranking intact. They may well be the right answer for the next booking.

Choosing a different room

Nothing is lost by overriding the suggestion. Whichever room takes the booking earns from it and drops down the ranking on its own, so the queue corrects itself. There is no stored order that someone has to maintain.

Notas: Use the search box for a guest at the desk. It covers every reservation, not just the ones waiting for a room — most people you look up already have one.

Why does a booking not appear?

It arrives too far ahead to be worth deciding yet, it has already been handled, or it is an owner stay. Owner bookings are never placed by the queue.

Can I undo a placement?

Move history under the list shows what was moved, by whom and when.

Only ten bookings show.

Ten at a time keeps the one you are working on visible. Show all opens the rest.
